Note taking, after all, is the tool of choice for the consummate organizer. But what if you could ditch all those tedious paper notebooks and store all your thoughts in a digital repository? What if you could search through your notes, share them seamlessly with others, and access them from anywhere in the world?

OneNote has a tiered organizational system: notebooks, sections, and notes. By default you'll start off with one notebook, but you can create more. By default you'll start off with one. Just like physical notebooks, OneNote notebooks are a collection of note pages. Start by creating a notebook, then build from there. On any page, select the Show Notebooks button. At the bottom of the pane, select Add Notebook or + Notebook. Enter a name for the new notebook, then select Create Notebook. OneNote switches to the new notebook.

How to Use OneNote Like a Pro

1. Sync Notebooks Online

Saving notebooks to your local computer is basically using OneNote like a glorified Notepad. To take real advantage of OneNote's features, you must save and sync all your notebooks online. Syncing means that all your notebooks get updated across all your devices in real time. This means you can create a new note on one your home computer before heading out to work, and resume using it on your laptop at the office. Neat, right?

But how exactly do you sync online?

Starting with Office 2013, OneNote actually prompts you to log into SkyDrive – Microsoft's cloud storage solution – to sync notebooks automatically. Besides SkyDrive, you can save and sync notebooks using Office 365 Sharepoint. You can also use DropBox for syncing – just make sure to select the DropBox folder on your computer when creating a new notebook.

You can also change sync settings to manual or automatic under ‘Sync Options' in the Info panel under File menu (OneNote 2013). The default setting is automatic; we suggest you keep it as is.

2. Take Audio/Video Notes

Typing notes into OneNote can get awfully tedious very soon. Spice up your routine by taking audio and video notes instead. Click on Insert -> Record Audio/Record Video to start taking notes. This is a more visual, interactive way to keep track of things – a solid alternative for when you get sick of typing things out. Plus, you can usually speak faster than you can type (unless you are Jack Nicholson!), so you'll probably save some time as well.

To do this, go to File -> Options -> Audio & Video and select ‘Enable searching audio and video recordings for words'.

3. Organize Your Notebooks Effectively

OneNote is meant to be used as a physical notebook replacement. The program is most effective when you organize your notebooks like you would in the real world, that is, with individual notebooks for each subject/topic, separate sections for each sub-topic, and separate page for each note or groups of similar notes.

Most beginners tend to be very conservative with notebook and section creation. Don't be; you don't stand to lose anything save a few megabytes of space for each new notebook. Create as many notes, pages, sections and notebooks as you like – it'll make organization that much easier.

For example, if you are a college student, you can make a new notebook for each class you take in a semester. You can then make separate sections for each broad topic, and add pages of notes for each day of the class. You can see an example structure below:

4. Use OneNote to Make To-Do Lists

Still using pocket legal pads and post-it notes to make your daily to-do lists? OneNote offers a much better solution. Make a to-do list in the program by pressing CTRL+1 anywhere in the main note screen. OneNote will automatically create a list item with a checkbox next to it. Type in your list item, press enter, type in another item, and so on.

To cross-off an item on the list, simply click on the checkbox, or bring your text cursor to the list item and press CTRL+1 again.

5. Take Advantage of Page Templates

Not many people use it, but OneNote page templates can be incredibly useful when done right. This is especially true for college students as OneNote 2013 comes packed with dozens of thoughtful templates right out of the box.

To access these templates, go to Insert -> Page Templates, and choose a template from the panel that pops up on the right.

Using templates makes note taking even faster. You can also save your current page as a template by clicking the ‘Save current page as template' link in the template panel.

6. Use Tags

One of OneNote's most powerful, yet underutilized feature is tagging. Tags work like hashtags in Twitter; every note or item marked with a particular tag will show up in the search results when you search for that tag.

To use tags, click on any of the built-in tags under the ‘Tags' section in the home ribbon.

You can also make your own custom tags in this section.

Use tags to organize your data. For example, you could mark important document with the ‘Important' tag, questions with the ‘Question' tag, and so on. Use keyboard shortcuts to tag items faster.

Consider an example: we created two note items and marked them with the ‘Important' (star) tag:

Clicking the ‘Find Tag' button on the home ribbon will show us all the notes marked with this tag:

You can also change the search options to include the current section, the current notebook, or even all your existing notebooks in the ‘Find Tag' panel.

As you can see, this is a very handy feature for organizing your information. Combined with custom search, it can help you never lose anything again.

OneNote is a powerful, highly capable software. Use it right and it can be an incredible ally in the fight against information overload. UPDATE March 2020 - Since Microsoft have rescued OneNote 2016 and are going to continue to support it, I have updated this Notebook Template a little. I have just simplified it and cleaned up some of the instructions within the notebook. No biggy!

Planning a novel is a vital part of the process, but it can sometimes seem a right pain. The old staring at a blank sheet is bad enough when writing a chapter, but when you haven't even planned further than a nice title or the name of your lead character's pet dog, it can seem an impossible mountain to climb.

I admit that I am a bit of a Onenote addict. As part of the MS Office suite, it has been an invaluable tool for years. Recently, Microsoft decided to make the application free, whether or not you use their office suite or not. You can get it here: http://www.onenote.com/

(Note: The free version only allows you to save the notebook to OneDrive, but it should not be a problem for writing novels.)

To install:

You must have Onenote already installed, obviously.

(Note - You will need to get OneNote 2016 to install this, but it will then work on other versions of OneNote like the Windows 10 App version)

Quick Tour

This template has been created based on my experience of using Onenote to write my huge Fantasy Dirt (Out Now!). Although I have used Onenote for years, this particular project is so big that I learned a huge amount about not only writing but planning and, especially, taking full advantage of a note making program.

Studio audio editing software. Onenote is not the only way of planning a book - paper is good and I really would love a room full of whiteboards and blackboards. But to be honest, Onenote is just practical.

The notebook is broken into several sections and section groups (section groups are like sub-notebooks). Within each section is a page called Note - this is just a note about what the section is for and can be deleted if you wish.

About Template

This is about the template and also has some basic tips on planning. This section can be deleted once you are happy.

About

This is a section for everything about your book, word, society and so on. It is your background reference manual. For Dirt I filled this with pages abou magic, pages on each of the countries, pages about dragons and humans and so on. I have over a hundred pages of notes now. I have added a few started pages to give you clues, but you do as you wish!

Characters

Characters are the backbone of any story, more so than the plot in my opinion. A plot is what happens to the characters, but if they didn't exist, there wouldn't be a plot.

I try to organise my characters into groups - by country or species, perhaps!

Characters get a page each. I normally start with a name and then I waffle on about them as if I had just met them that evening in a pub and got drunk with them.

From that, I might refine details about them, add physical characteristics, important dates and any useful history, relationships to other characters and so on. I will also add to these notes as I write the book. Quite often a character will reveal something about themselves that I did not think about initially, so I will add it to their profile.

I give everyone I meet in my books a name, even if I do not use it - it helps me keep track. But if you have a lot of 'extras' and don't want to give them entire pages, create a page called 'Extras' and bung them in there.

Series Outline

Network radar 2 9 20. If you are not writing a series, delete this section. This is so you can keep notes on the entire series as a single story to help you keep track. This is broad brushstroke stuff!

Bin

Be careful of throwing away notes. If you have notes on something that are very out of date, you may want to write a new page. For safety, just move the old page in here. You may never look at them again, but on the other hand, you may find an old Gem you had forgotten!

Book 1 - 3 section groups

Section groups are like sub-notebooks. Each of these contains sections for notes, your synopsis and chapter breakdowns. More details and suggestions for use are in the sections themselves.

Publishing

This section group is for you to keep track of all your publishing activities, including artwork, reviews, marketing, agents and so on.

Customising

The is only a starting point. You will, more than likely, want to change, add, delete, all over the place. Go for it!

This is my first attempt at making a blank notebook template for this purpose, so if you think of things that you think will benefit all writers, let me know in the comments below and I might include them in a future version.
